
The Challenge
An international organisation with a presence in 130 countries faced a significant challenge with its onboarding process. With an inflow of 100-120 new employees every week, the organisation had an effective administrative onboarding process in place but lacked the human aspects crucial for new hires. Key areas missing included facilitating connections with coworkers, effective communication with mentors, and awareness of development opportunities.
The Approach
To bridge these gaps, we focused on creating a comprehensive and engaging onboarding journey that went beyond just handling administrative tasks. Our goal was to give new employees the resources and support they needed to smoothly integrate into the organisation and to help with their professional development.
We used Articulate, an e-learning authoring tool, to create a series of courses tailored to different stages of the onboarding process over the first six months. Each course was designed to guide new employees through various aspects of their integration:
- Connecting with colleagues and building relationships within the organisation.
- • Effectively communicating with mentors and understanding the available support.
- • Identifying and accessing development opportunities to support career growth.
These courses were then integrated into Workday, the organisation’s human resource management platform, to ensure that the onboarding process was easily accessible for new employees.
The Solution
The implementation of this new onboarding journey resulted in a significant improvement in the experience for new employees. Key outcomes included:
- A structured and supportive onboarding process accessible via Workday, which provided clear guidance for new employees during their first six months.
- Improved connections between new employees and their colleagues, fostering a sense of community from the outset.
- Enhanced communication between new hires and their mentors, ensuring they received the necessary support and guidance.
- Increased awareness of development opportunities, encouraging new employees to take ownership of their career growth within the organisation.
By integrating this comprehensive onboarding process into Workday, new employees were able to easily access all required resources, resulting in a smoother and more effective integration into the organisation. This holistic approach not only improved the onboarding experience but also established a solid foundation for employee engagement and retention.
